The most efficient way to do this is to use your normal template and add unit numbers to your comments.

For example... Kitchen - Smoke Detector - Smoke detector missing in unit 1, 3 15, 19

I've seen 300 unit apartment complexes done this way and they can finish on site other than reviewing before sending out.
